Run an association or federation congress
Members to register, workshops, a room to consult and certificates to hand out: the annual congress of an association, a federation or a professional network.
How it works
An association congress looks like a professional one, with smaller budgets and more volunteers. The tool is made to be picked up without training.
- Before
You start from the “conference” template, publish the programme and workshops, and open registration with the questions that matter to you: organisation, region, role. If membership is paid elsewhere, you import the member list; each person receives their badge by email.
- During
Front desk volunteers scan badges with their own phones, using the “Front desk” role, which gives them access to nothing else. In the plenary, polls and a word cloud consult the room, and questions come in writing rather than at the microphone.
- After
Everyone who came receives a certificate of attendance listing the workshops they joined, which can be checked with its QR code. The board gets the report by link, with no access to anything else.
What you will use
Four modules do most of the work for an association congress. All the others are included.
What it does not cover
Two things an association sometimes needs that the tool does not do.
- No certified statutory voting. Polls are for consulting the room; they do not produce minutes and are not suited to electing a board or voting on general meeting resolutions.
- No membership or dues management. LiveEvent handles congress registration; your member records stay in your usual tool.
Frequently asked questions
- Can volunteers scan with their own phones?
- Yes. The scanner opens in the browser, with no app. With the “Front desk” role, a volunteer checks people in and views the list, but cannot change the site or the programme.
- Can we hand out certificates of attendance?
- Yes. Everyone who came receives theirs by link and by email, listing the workshops they joined. Its QR code lets anyone verify it.
- Can registration be limited to members?
- Yes, in two ways: by limiting registration to certain email domains, or by importing the member list yourself. The site can also be visible only to registered participants.
